1. Treat packaging handoff as a controlled information transfer
“Packaging handoff” does not mean only sending finished cartons to a forwarder. It means transferring the buyer's packaging requirements to the factory in a form that can be sampled, checked, approved and repeated during bulk pack-out.
Before this stage, the buyer should already know which cosmetic bag product family and construction route are being ordered. The packaging handoff then defines how each approved bag is protected, presented, labelled, grouped by SKU and identified at carton level.
2. Start with 1 approved pack-out map for every SKU
A pack-out map tells the workshop what belongs to one sellable unit and what belongs in one shipping carton. It should not mix marketing instructions, warehouse instructions and factory assumptions in different email threads.

Use 1 approved version per SKU. If two colors use different barcodes, do not place both label files in one unmarked artwork folder. The pack-out map should make the relationship visible before labels are printed.
3. Send paper-sleeve, hangtag and label artwork as production files
Rivta can work from PDF or AI files for paper sleeves, hangtags and barcode labels. Each file should be tied to the correct SKU and include the approved size, print content and position. If the paper component uses a dieline, fold, hole or attachment point, those details should be visible in the approval file.
The factory prepares a packaging sample or approval photo after the file and packing route are clear. The buyer checks the visible text, logo, orientation, fit and attachment before bulk packaging starts. This step is especially important when a sleeve covers part of the bag or a hangtag can rub against the finished surface.
4. Separate correct barcode data from barcode scan performance
The buyer or its retail/operations team should supply the correct barcode or GTIN, the matching SKU, the artwork file, label size and placement requirement. GS1 explains that a GTIN is used to identify a trade item in supply-chain transactions1. The factory should not invent a GTIN or decide which buyer SKU a code represents.
Rivta can receive the barcode artwork as a PDF or AI file and uses software to test whether the proposed barcode can be scanned. The label or artwork passes this internal gate only when the scan test is successful. This scan test confirms readability in the test setup; it does not replace the buyer's responsibility to confirm that the number, SKU relationship and retailer requirement are correct.
Use a 2-part barcode approval
Data approval: the buyer confirms the GTIN/barcode and SKU mapping. Scan approval: Rivta checks whether the proposed printed or digital code can be read by its software. Both must pass before bulk label use.
5. Freeze carton-mark information before carton labelling
Carton marks should be confirmed carefully with the buyer because the factory prints what is approved. The final carton-mark file should state which fields are fixed buyer data and which measurements or weights are completed from the packed carton.

6. Approve 1 packaging reference before bulk pack-out
- Buyer handoff: send the pack-out map, PDF/AI packaging files, barcode/GTIN-to-SKU map and carton-mark content.
- Factory review: check whether the files, dimensions, positions and SKU relationships are usable.
- Packaging sample: prepare a packed sample or clear approval photos showing sleeve, hangtag, label and individual pack.
- Barcode gate: complete the software scan test and record whether the proposed code passes.
- Buyer confirmation: approve the visible pack-out and freeze the correct file version.
- Bulk packing: segregate SKUs, apply approved labels, count cartons and use the confirmed carton mark.
